Privacy Policy

Last updated: November 4, 2025

Look, we get it - nobody actually enjoys reading privacy policies. But here at Aether Forge Chronos, we're pretty straightforward about how we handle your info. We're not some massive corporation trying to sell your data to the highest bidder. We're just a gym in Vancouver that wants to help you get stronger and faster while respecting your privacy. So grab a protein shake and let's break this down in plain English.

When you sign up with us, we're gonna need some basics to keep things running smoothly. Nothing crazy, just the essentials:

  • Personal Details: Name, email, phone number, address - standard stuff so we can reach you about class changes or when you forget your water bottle (happens more than you'd think).
  • Health & Fitness Info: We need to know about any injuries, medical conditions, or limitations you've got. Not trying to be nosy, just don't want you hurting yourself. Plus your fitness goals, current performance levels, and training history help us program better workouts for you.
  • Payment Information: Credit card details, billing address - the usual for processing memberships and sessions. We use secure payment processors, so we're not just storing your card info on a sticky note.
  • Usage Data: What classes you attend, how often you show up, which programs you're enrolled in. Helps us understand what's working and what needs tweaking.
  • Technical Stuff: IP address, browser type, device info when you use our website. Pretty standard web analytics to make sure the site's not crashing on certain devices.

We're not hoarding your data for fun. Here's what we actually do with it:

  • Running the Gym: Scheduling your sessions, managing memberships, processing payments, sending you reminders about upcoming classes. Basic operational stuff.
  • Personalizing Your Experience: Tailoring workout programs to your goals, tracking your progress over time, adjusting intensity based on your performance. That's kinda our whole thing - time-optimized training means we need to know where you're at.
  • Communication: Updates about schedule changes, new programs we're launching, nutrition tips, maybe the occasional motivational email when we notice you haven't been in for a bit. We're not spamming you with daily emails though - we've got better things to do.
  • Safety & Compliance: Keeping health records so our coaches know if you've got a dodgy shoulder or can't do certain movements. Also helps us stay compliant with Canadian health and safety regulations.
  • Improving Our Services: Analyzing what programs are popular, what times are busiest, where people are making the best gains. Helps us make better decisions about what to offer.

We're pretty protective of your info, but there are a few situations where we might need to share it:

  • Service Providers: Payment processors, email services, scheduling software - the tools we use to keep things running. They only get what they need to do their job, and they're contractually obligated to keep it secure.
  • Legal Requirements: If the law says we gotta hand something over, we will. Court orders, regulatory investigations, that kind of thing. We're not about to break the law to protect your gym attendance record.
  • Emergency Situations: If there's a medical emergency and paramedics need to know about your health conditions, we're sharing that info. Your safety trumps privacy in those moments.
  • Business Transfers: If we ever sell the gym or merge with another facility (not planning on it, but you never know), your membership info would transfer to the new owners. We'd let you know first though.
  • With Your Consent: Sometimes we might want to feature member success stories or testimonials. We'll always ask first and get your explicit permission before using your name or likeness.

What we DON'T do: sell your data to third parties, share your email with marketing companies, or give your phone number to random supplement brands. That's not our style.

We take security seriously - probably more seriously than we take rest days. Here's what we do to keep your info locked down:

  • Encryption: All data transmitted to and from our website is encrypted using SSL/TLS. Basically means it's scrambled so nobody can intercept it. Same tech banks use.
  • Secure Storage: Your information lives on secure servers with multiple layers of protection. We're using reputable hosting providers with solid track records, not some sketchy basement server.
  • Access Controls: Only staff who actually need access to your info can see it. The person checking you in at the front desk doesn't have access to your payment details, for example.
  • Regular Updates: We keep our systems patched and updated to protect against new security threats. Boring but necessary.
  • Physical Security: Our paper records (yeah, we still have some) are kept in locked cabinets. Old school but effective.

That said, nothing's 100% foolproof. If we ever experience a data breach, we'll notify you ASAP and let you know what happened and what we're doing about it. Transparency matters.

Our website uses cookies - and no, not the post-workout cheat meal kind (though those are way better). These are small files that help the site work properly:

  • Essential Cookies: These keep you logged in, remember your preferences, make the booking system work. Can't really run the site without 'em.
  • Analytics Cookies: Help us understand how people use the website - which pages get visited most, where people are getting confused, that kind of thing. We use this to make the site better.
  • Performance Cookies: These monitor site speed and functionality so we can fix things when they break (which hopefully isn't often).

You can disable cookies in your browser settings if you want, but fair warning - some parts of the site might not work right. The booking system especially relies on cookies to function.

We don't use tracking pixels or retargeting ads that follow you around the internet. That's just creepy and we're not into it.

It's your data, so you've got some rights here. Under Canadian privacy law (PIPEDA specifically), you can:

  • Access Your Info: Request a copy of what personal information we have on file for you. We'll send it over within 30 days (usually way faster).
  • Correct Inaccuracies: If something's wrong - maybe we've got your phone number typed in wrong or an old address - just let us know and we'll fix it.
  • Request Deletion: Want us to delete your account and all associated data? We can do that. Keep in mind we might need to retain some info for legal or accounting purposes (like payment records for tax reasons), but we'll nuke everything else.
  • Opt Out of Communications: Don't want our emails anymore? Every email we send has an unsubscribe link. Click it and you're done. We might still need to send you essential stuff like "hey your membership is expiring" but no more newsletters or promotional content.
  • Withdraw Consent: If you previously agreed to something (like having your progress photos shared), you can change your mind anytime. Just shoot us a message.
  • Data Portability: Want to take your workout history to another gym? We can export your data in a usable format. No hard feelings.

To exercise any of these rights, email us at info@aetherforgechronos.info or call (604) 789-2340. We'll verify your identity (gotta make sure it's actually you) and then handle your request.

Our services are primarily designed for adults, but we do work with younger athletes too. Here's how we handle it:

If you're under 18, we need parental or guardian consent before you can sign up. Parents or guardians need to review this privacy policy and agree to it on behalf of their kid. They'll also need to provide the health and fitness information we need to train safely.

For minors, we collect the same basic info but we're extra careful with it. Parents have the right to review, update, or request deletion of their child's information at any time. Just reach out to us.

We don't knowingly collect information from anyone under 13 without explicit parental consent and involvement. If we find out we've accidentally collected data from a young kid without proper consent, we'll delete it immediately.

We might update this privacy policy from time to time as we add new services, change how we operate, or if privacy laws change. When we make significant changes, we'll let you know via email or a prominent notice on the website.

Minor tweaks (like fixing typos or clarifying existing practices) won't trigger a big announcement, but we'll always update the "Last updated" date at the top of this page so you can see when changes were made.

If changes materially affect how we handle your personal information, we'll get your consent again before implementing them. We're not gonna pull a fast one and suddenly start using your data in ways you never agreed to.

Your continued use of our services after we post changes means you accept the updated policy. If you don't like the changes, you've got the right to close your account and request deletion of your data.

Got questions about this privacy policy? Worried about how we're handling your data? Just wanna chat about your privacy rights? Hit us up - we're here to help.
